UNESCO is looking for an institution to organize and promote a contest

Recognized as UNESCO Creative City of Design in 2019, Ha Noi has committed to place culture and creativity at the core of its sustainable development, with a wider vision to become a leading creative hub of Southeast Asia. In order to support the commitment of the city, UNESCO is leading the project Mobilizing Cultural Dynamics and Youth Participation towards Ha Noi Creative Capital with the slogan “Hanoi Rethink” together with other two implementing partners UNIDO and UN Habitat. This project will support Ha Noi City to implement its new strategic vision of a Creative City of Design, harnessing its cultural assets and youth participation as key agents for innovation, creativity, and social change.

One of the key outcomes of the project is to empower young Vietnamese creative talent to influence and contribute to the new development agenda of Ha Noi as the Creative Capital with innovative ideas and actions. To realize this outcome and to provide youth a platform to participate and demonstrate their creativity, UNESCO is organizing the Ha Noi Illustration Contest with the theme “Hanoi is…?” under three categories- illustration, one-page comic, and motion art. This contest hopes to bring together young creative talents, recreating the capital with imagination and creativity.

UNESCO is looking for an institution to organize and promote the contest to ensure the contest quality in terms of outreach to the targeted illustrators and young designers community.

Assignments
The contractor will work closely with the Culture Project Officer, under the supervision of the UNESCO Culture Program Coordinator, and shall be responsible for organizing the Contest with specific tasks as of followings:

2.1. Support launching the Contest and promote the Contest’s activities on media channels to ensure at least 100 quality submissions, 1.000.000 reach, 30.000 react and 5.000 share.

40 Facebook posts on groups of artists community
3 press articles to promote the contest
Invite 30 established artists to promote the contest (before and during the contest)
Invite 10 creative hubs/ collectives to promote the contest (before, during and after the contest)
Send newsletters to 200 young artists to encourage participation
2.2. Coordinate participant process:

Answer queries regarding the contest
Engage with participants throughout the contest
Monitor online submissions, ensure all posted artworks are appropriate and meeting standards
Resolve situations with regards to copyrights issues
2.3. Support UNESCO to invite judges and support the selection of best works

2.4. Organize two creative workshops (half day) where established artists and advisors share their experiences as well as provide tips and technical advice for prospective participants.

Specific activities include:

Work with the board of organizers to develop the agenda of the workshop.
Invite guest speakers
Promote the workshops on media channels
Facilitate registration of participants and other logistics
Recruit and coordinate event volunteers
Facilitate live streaming of the workshop for remote participants
2.5. Design promotional materials based on artwork pattern provided by UNESCO, including:

1 key visual in different format (website, social media, press, email)
40 visuals for the Facebook posts in groups of artists community (might include Facebook and Instagram story format)
Workshop materials (Facebook event banner, backdrop and standee)
2.6. Delivering prizes to winners:

Gather winners information and high quality artworks
Produce prizes with printed winning artwork (30 packages – each package includes 1 art print (size 30×40) and 1 pack of 20 postcards)
Pack and send prizes to winners
Send appreciation letters to participants
2.7. Support UNESCO to invite and liaise with contest sponsors of the contest
